Refund policy
Last Updated: June 8, 2026
Thank you for shopping with CoolHill.
This Return & Refund Policy applies to purchases made through coolhill.pro. It explains when an order may be cancelled, returned, replaced, repaired, partially refunded, or fully refunded.
Nothing in this Policy excludes or limits any consumer right or remedy that cannot legally be excluded under applicable law.
1. No Voluntary Change-of-Mind Returns After Processing or Shipment
Except where applicable law gives you a mandatory right to cancel, withdraw from, or return an online purchase, CoolHill does not offer voluntary returns or refunds simply because you change your mind after an order has entered processing or has been shipped.
This includes situations where:
-
You no longer want or need the product.
-
You ordered by mistake.
-
Your personal circumstances changed.
-
You found another product or a lower price elsewhere.
-
You selected the wrong colour, model, quantity, or bundle.
-
You do not like the product's appearance, colour, feel, airflow, sound, size, or general characteristics.
-
You expected performance or functionality that was not advertised.
-
You did not fully review the product description, specifications, images, videos, FAQs, compatibility information, or other information provided before ordering.
Where a mandatory statutory cancellation or withdrawal right applies to your purchase, CoolHill will honour that right in accordance with applicable law.
2. Order Cancellation
Orders may begin processing shortly after payment confirmation.
If you need to request a cancellation, contact us immediately at:
A cancellation request is not guaranteed.
Once an order has been processed, prepared for fulfilment, transmitted to a fulfilment provider, labelled for shipment, or shipped, we generally cannot guarantee cancellation or modification.
If applicable law gives you a mandatory cancellation or withdrawal right after processing, shipment, or delivery, that right remains unaffected.
3. Returns Require Prior Written Approval
Do not send any product back without contacting CoolHill first and receiving written return authorization and return instructions.
To request assistance, email:
Please include:
-
Your order number.
-
Your full name.
-
The email address used for the order.
-
A clear description of the issue.
-
Clear photographs and/or video evidence where the product is alleged to be damaged, defective, incorrect, or incomplete.
-
Photographs of the shipping packaging and label where relevant.
Sending a product to an address obtained independently, refusing delivery, or returning an item without authorization does not automatically create a right to a refund.
Unauthorized returns may be refused, held pending instructions, or returned to the customer at the customer's expense where legally permitted.
4. Damaged, Defective, Incorrect, or Incomplete Orders
If your order arrives damaged, materially defective, materially different from what you ordered, or missing an included component, contact us as soon as reasonably possible.
For visible transit damage, incorrect products, or visibly missing components, we strongly request that you contact us within 48 hours of delivery so we can preserve evidence and investigate with the courier or fulfilment provider.
The 48-hour reporting request does not remove any statutory right that applicable law does not permit you to waive.
We may request:
-
Photos of the product.
-
Photos of the packaging.
-
A photo of the shipping label.
-
A video clearly showing the reported problem.
-
Charging or troubleshooting information.
-
Product identifiers.
-
Other reasonable evidence necessary to assess the claim.
Customers must reasonably cooperate with troubleshooting and claim verification.
5. What May Qualify as a Defect
A genuine defect generally means a manufacturing, material, electrical, mechanical, charging, battery, control, or other fault that causes the product to materially fail to perform an advertised core function under normal use.
Examples may include:
-
The fan does not power on despite correct charging and setup.
-
A motor, control, display, charging port, battery, cooling component, or other core component materially fails under normal use.
-
A product arrives physically damaged.
-
The product received is materially different from the product ordered.
-
A required component included in the purchased package is missing.
-
The product otherwise materially fails to conform to an advertised characteristic in a way that gives you a remedy under applicable consumer law.
Whether a particular issue is legally a defect depends on the facts and applicable law.
6. What Is Generally Not a Defect
Unless applicable law provides otherwise, the following will not normally be treated as product defects:
-
Minor cosmetic variations that do not materially affect use.
-
Slight differences in colour, finish, texture, packaging, or appearance caused by lighting, photography, screen calibration, manufacturing tolerances, or product updates.
-
Damage to external shipping packaging where the product itself is undamaged.
-
Normal fan or motor noise, vibration, or airflow sound consistent with operation.
-
Personal preference regarding airflow strength, cooling sensation, sound, colour, size, weight, or feel where the product materially matches its description.
-
Battery operating time varying according to speed level, cooling mode, ambient temperature, charging habits, battery age, or usage conditions.
-
Cooling performance varying depending on ambient temperature, humidity, airflow conditions, distance from the user, speed setting, or how the product is used.
-
A cooling plate or cooling surface feeling more or less intense depending on ambient conditions or skin contact where the unit is functioning as designed.
-
Normal wear and tear.
-
Damage caused by impact, dropping, crushing, misuse, neglect, improper storage, modification, or unauthorized repair.
-
Water or liquid damage where the product is not expressly advertised for that exposure.
-
Damage caused by blocked vents, foreign objects, hair, dust, debris, or improper cleaning.
-
Problems caused by incompatible chargers, cables, adapters, power sources, or accessories.
-
Failure caused by ignoring product instructions or safety guidance.
-
Expectations based on features or performance that CoolHill did not advertise.
Nothing in this section permits CoolHill to classify a genuine legal non-conformity as a non-defect.
7. Troubleshooting and Remedy Process
Before approving a return or monetary refund, we may ask you to complete reasonable troubleshooting steps.
Depending on the issue, this may include:
-
Fully charging the product.
-
Using a compatible charging cable or power source.
-
Restarting or resetting the product.
-
Checking that air inlets and outlets are unobstructed.
-
Testing different speed or cooling settings.
-
Providing a short video showing the issue.
Where legally permitted, CoolHill may resolve a valid claim through one or more of the following remedies:
-
Technical troubleshooting.
-
Replacement of an affected accessory or component.
-
Repair.
-
Partial replacement.
-
Replacement of the complete product.
-
An appropriate partial refund.
-
A full refund.
A monetary refund is not automatically the first remedy in every valid claim where applicable law allows another reasonable remedy first.
Where applicable law gives you the right to select a particular remedy, that legal right will control.
8. 30-Day Guarantee Clarification
Where the CoolHill website displays or refers to a 30-day guarantee, it is intended as a product-support assurance for qualifying problems reported during that period and does not, by itself, create an unrestricted 30-day free-trial or change-of-mind return right unless the specific offer states otherwise.
The guarantee does not cover:
-
Customer-caused damage.
-
Misuse.
-
Normal wear.
-
Subjective dissatisfaction where the product materially matches its description.
-
Performance expectations not stated by CoolHill.
-
Issues excluded elsewhere in this Policy.
Any mandatory statutory return, cancellation, warranty, or conformity rights remain unaffected.
9. Condition of Approved Returns
Any approved return must be sent according to the instructions provided by CoolHill.
Unless the return relates to a defect or applicable law provides otherwise, returned products should include all items originally supplied, including where relevant:
-
The fan.
-
Charging cable.
-
Included accessories.
-
Manuals or inserts.
-
Bundle components.
-
Promotional or complimentary items.
-
Original packaging where reasonably required and legally permitted.
Where a customer exercises a statutory withdrawal right, the customer may be responsible for diminished value caused by handling beyond what is reasonably necessary to inspect the nature, characteristics, and operation of the goods, where applicable law permits such a deduction.
10. Bundles, Promotional Items, and Free Gifts
If an approved return relates to an entire CoolHill bundle, all products and included promotional items supplied as part of that bundle must generally be returned unless CoolHill instructs otherwise.
Where legally permitted, the reasonable value of missing or damaged bundle components may be deducted from an otherwise payable refund.
A product described as "free," "included," "bonus," or similar may still have a replacement value.
11. Customer-Caused Damage
CoolHill is not responsible for product faults or damage caused by misuse, dropping, crushing, unauthorized repair, improper charging, unsuitable liquid/heat exposure, blocked fan openings, foreign objects, failure to follow instructions, incompatible accessories or power sources, or ordinary wear and tear.
Claims involving customer-caused damage may be refused where permitted by law.
12. Return Shipping
For an approved return involving a genuine defect, incorrect product, or another issue for which CoolHill is legally responsible, CoolHill will bear return shipping costs where required by applicable law.
For non-defective returns made under a mandatory statutory withdrawal right, the customer is responsible for direct return shipping costs where applicable law permits the seller to place that cost on the customer.
Customers must use the return address and method provided by CoolHill.
CoolHill is not responsible for products sent to an incorrect or unauthorized address.
13. Original Shipping, Expedited Shipping, and Processing Costs
Except where applicable law requires otherwise:
-
Original shipping charges are non-refundable once properly incurred.
-
Expedited or premium shipping charges are non-refundable.
-
Return-to-sender, redirection, customs, storage, handling, or other additional costs caused by customer error may be deducted from an otherwise payable refund where legally permitted.
Where applicable law requires the refund of standard outbound delivery charges following a statutory cancellation, CoolHill will refund the amount required by law.
14. Incorrect or Incomplete Addresses
Customers are responsible for providing a complete and accurate delivery address.
If an order cannot be delivered because the customer supplied incorrect or incomplete information, the customer may be responsible for reasonable redirection, return-to-sender, reshipping, storage, or courier charges where legally permitted.
15. Refused and Unclaimed Deliveries
Refusing delivery, failing to collect a parcel, failing to respond to a courier, or allowing a parcel to be returned to sender does not automatically constitute an approved cancellation.
Where a parcel is returned because it was refused, unclaimed, not collected, incorrectly addressed by the customer, or subject to unpaid customer import charges, CoolHill may deduct reasonable unrecoverable costs from any refund otherwise due where legally permitted.
Any refund, where applicable, will normally be considered after the returned shipment has been received and identified.
16. Refund Inspection
When an approved return is received, we may inspect it to confirm that the item matches the order, the reported issue exists, required components are included, the product has not been damaged through misuse, and the return follows the authorization provided.
If a refund is approved, it will normally be issued to the original payment method.
CoolHill cannot control how long a bank, card issuer, PayPal, Shopify Payments, or another payment provider takes to make refunded funds available.
17. Fraudulent or Abusive Claims
CoolHill reserves the right to investigate claims showing signs of fraud, altered or misleading evidence, product substitution, false non-delivery claims, repeated abusive refund activity, chargeback abuse, or attempts to retain goods while obtaining an unjustified refund.
We may provide relevant transaction, tracking, delivery, communication, product, and return evidence to payment providers, couriers, insurers, legal advisers, or competent authorities where lawful and reasonably necessary.
Nothing in this section restricts a customer's lawful right to dispute a transaction.
18. Mandatory Consumer Rights
This Policy provides CoolHill's contractual return rules. It does not exclude, restrict, or replace any right or remedy that applicable consumer law does not permit CoolHill to exclude.
Depending on your location, mandatory rights may include rights concerning withdrawal from an online purchase, defective or non-conforming goods, repair, replacement, price reduction, refund, delivery, and warranty obligations.
Where this Policy conflicts with a mandatory consumer right applicable to your purchase, that mandatory right will prevail to the extent of the conflict.
